Manage Voicemail-to-Email Settings

Admin users can learn how to control company-wide voicemail email notifications and delivery options.

Administrators can manage voicemail-to-email settings for the entire organization. These settings control whether voicemail notifications are emailed to Team Members or departments, whether Team Members can manage their own voicemail-to-email preferences, and what information is included in voicemail notification emails.

Requirements and notes

Voicemail-to-email helps ensure important messages are not missed by delivering voicemail notifications directly to email inboxes.

  • You must be logged in with Admin permissions.
  • Voicemail-to-email settings are company-wide.
  • Administrators can restrict Team Members from changing their own voicemail-to-email settings.
  • Disabling notifications stops voicemail email delivery across the organization.
  • Email delivery depends on valid Team Member or department email addresses.
  • Voicemail transcription must be available for transcript details to appear in voicemail notification emails.
 

Access voicemail-to-email settings

You must have an Admin login to access voicemail-to-email settings in the Settings portal.

  1. From the browser or desktop app, click your profile icon.
  2. Click Admin Settings.
    You will be redirected to a new browser tab.
  3. From the left navigation menu, click Voicemail-to-Email.

Configure company-wide voicemail notifications

From the Voicemail-to-Email page, you can control whether voicemail notifications are sent by email across your organization.

  • Disable notifications company-wide – Stops all voicemail email notifications across the organization.
  • Enable notifications company-wide – Allows voicemail email notifications to be sent to Team Members or departments.
  • Restrict team members from making changes – Prevents Team Members from modifying their own voicemail-to-email settings.

Click Save to apply any changes.

Company-wide disabled voicemail-to-email

Disabling voicemail-to-email for the entire company stops voicemail notification emails for the entire organization. Team Members and departments will no longer receive voicemail company-wide messages by email.

 

Configure email delivery options

When voicemail-to-email is enabled, you can customize what information is included in voicemail notification emails.

  • Attach voicemail audio – Includes the voicemail recording as an audio attachment.
  • Include voicemail transcriptions – Adds a text transcription of the voicemail, if available.
  • Include caller details – Displays caller information, such as phone number and call time when available.

Changes will be applied once you save.

Team Members view

If voicemail-to-email is enabled and Team Members are allowed to make changes, they can manage their personal voicemail-to-email options from Profile Settings > Voicemail.

Depending on the enabled options, Team Members may receive voicemail notification emails with the audio recording, voicemail transcription, caller details, or a combination of these details.

If Team Members are restricted from making changes, they may not be able to enable, disable, or customize their own voicemail-to-email settings.

User-facing voicemail-to-email settings depend on the company-wide settings configured by an Administrator. If a Team Member cannot update their voicemail-to-email preferences, confirm that voicemail-to-email is enabled and that Team Members are allowed to make changes.

 

Troubleshooting voicemail-to-email

Use the table below to troubleshoot common voicemail-to-email issues.

Issue What to check
Team Members are not receiving voicemail emails. Confirm voicemail-to-email is enabled company wide, the Team Member or department has a valid email address, and the correct email delivery options are selected.
Voicemail audio is not attached. Confirm Attach voicemail audio is selected and saved.
Transcriptions are not included. Confirm that Include voicemail transcriptions is selected. Transcriptions only appear when a voicemail transcription is available.
Team Members cannot change their own voicemail-to-email settings. Confirm whether Restrict team members from making changes is enabled.
No voicemail emails are being delivered across the organization. Confirm notifications are not disabled company-wide.
