Your voicemail inbox stores messages left by callers when you miss a call. From Profile Settings, you can enable or disable voicemail, customize your voicemail greeting, enable voicemail-to-email, and update your voicemail password/PIN.
Requirements and notes
- Voicemail settings may depend on your assigned licenses and company permissions.
- Your voicemail inbox must be enabled before callers can leave voicemail messages.
- Voicemail-to-email must be allowed by an Administrator before Team Members can use it.
- Voicemail transcripts only appear when transcription is available for the voicemail message.
- Your voicemail password/PIN is used when accessing voicemail by phone or from an external device.
Access your voicemail inbox settings
From the Sync desktop or browser app, follow the steps below:
- Open your Profile Settings:
- Click your profile icon in the top right corner.
- Click your name under Profile Settings.
- Click the Voicemail subtab on the left side.

Enable or disable your voicemail inbox
Use the Voicemail toggle to control whether callers can leave voicemail messages when you miss a call.
- To allow callers to leave voicemail messages, switch the Voicemail toggle to On.
- To prevent callers from leaving voicemail messages, switch the Voicemail toggle to Off.
- Click Save to apply your changes.
When voicemail is disabled, callers cannot leave voicemail messages if you miss their calls.

Enable voicemail-to-email
Voicemail-to-email sends voicemail notifications to your email inbox. Depending on your organization’s settings, voicemail notification emails can include the voicemail audio file, voicemail transcript, and caller details.
Admins: Allow voicemail-to-email for your organization
Administrators must configure voicemail-to-email settings for Team Members in the Sync Settings portal before this feature can be used. For more information, refer to: Manage Voicemail-to-Email Settings.
Follow the steps below to enable voicemail-to-email:
- In the Voicemail tab, ensure your voicemail inbox is enabled.
- Enable the toggle labelled Email me when I get a new voicemail.
- Select which details to include in the email notification:
- Include Audio File Attachment – attaches the voicemail audio file to the email.
- Include Audio Transcript – includes a text version of the voicemail message, if available.
- Include Caller Details – includes caller information, such as phone number and call details when available.
- Click Save to apply your changes.
Once enabled, you will receive an email notification each time you receive a new voicemail.

Update your voicemail greeting
Your voicemail greeting is the message callers hear before leaving you a voicemail. You can use the default system greeting, upload a custom greeting, or record a greeting by phone.
Preview your current greeting
In the Greeting section, you can view the currently selected greeting and use the playback bar to listen to it before making changes.
Option 1: Use the default voicemail greeting
Choose this option if you want callers to hear the default system greeting.
- Under Greeting, select Default Voicemail Greeting.
- Click Save.

Option 2: Upload a custom voicemail greeting
Choose this option if you want callers to hear a personalized message that you upload as an audio file.
Uploads must be in .mp3, .m4a, or .wav format with a maximum file size of 20 MB.
- Under Greeting, select Custom Voicemail Greeting.
- Follow the on-screen prompts to upload your audio file.
- After uploading the file, confirm the file name and duration.
- Click Save.

Option 3: Record a greeting via phone
Choose this option if you want to record your greeting from a connected phone or device.
- Under Greeting, select Record Greeting via Phone.
- Enter the phone number where you want to record the greeting.
- Answer the call and follow the audio instructions.
- Return to the Voicemail tab.
- Confirm your greeting and click Save.

Update your voicemail password
Your voicemail password/PIN is used when accessing voicemail by phone or from an external device. You can update your voicemail password from the Voicemail tab in Profile Settings.
- In Profile Settings, open the Voicemail tab.
- At the bottom of the page, click Update Password.
- Enter your new voicemail password.
- Confirm your new voicemail password if prompted.
- Click Reset to save your new password.

Tips and troubleshooting

| Callers cannot leave voicemail messages. | Confirm the Voicemail toggle is enabled and saved. |
| Voicemail-to-email is not available. | Confirm your voicemail inbox is enabled and ask an Administrator to confirm that voicemail-to-email is allowed for your organization. |
| Voicemail emails do not include transcripts. | Confirm Include Audio Transcript is selected. Transcripts only appear when voicemail transcription is available. |
| Your custom greeting is not playing. | Confirm the correct greeting option is selected and saved. If you uploaded a custom greeting, confirm the file type and file size are supported. |
| Your voicemail password/PIN is not working. | Update your voicemail password from Profile Settings > Voicemail, then try accessing voicemail by phone again. |
