Internal and External Sync Contacts

Discover all the features available to regular users for Sync contact management.

Manage your business contacts through the net2phone Canada Sync Platform. Internal contacts appear automatically as Team Members. When you add an external contact, their name replaces the phone number wherever possible across the app, including Activity, Calls, Messages, Shared Inboxes, Interactions, and call popups.


View and filter your contact lists

Open the Contacts tab in the left Activity panel to browse and filter your contacts.

  • All – Every contact that is visible to you.
  • Favourites – Contacts you have starred.
  • Personal – External contacts visible only to you.
  • Integrated – External contacts added through an integration, such as Google Contacts.
  • Shared – External contacts available to your company.
  • Company – Internal Team Members on your phone system.
  • Online Only – Company contacts currently active online.

Use the search bar to find contacts by name, phone number, email address, or company.

How to add a new external contact

Create an external contact for people you call or message frequently. External contacts can be saved as personal contacts or shared company contacts.

Contact detail tip! 

You can add up to 3 phone numbers and 3 email addresses per contact. You can also add company details, location information, and notes.

 
  1. Open the Contacts tab in the left navigation panel.
  2. Click the Add Contact icon in the top right corner.
  3. Enter the contact details, including any phone numbers, email addresses, company details, location information, or notes.
  4. Choose how the contact is saved:
    • Personal – Visible only to you.
    • Shared – Visible to everyone in your company.
  5. Click Save.

How to add a contact from call history

Save a contact directly from a recent call or message, even if the person is not already in your contact list.

  1. Open Activity or Calls.
  2. Click the More Options (⋯) menu on a call or message.
  3. Select Create New Contact or Add to Existing Contact.
  4. Complete the contact details.
  5. Click Save.

Integrate your Google Contacts

Connect your Google account to sync your calendar and contacts with net2phone Sync. Google meetings appear in the Sync apps, and your Google contacts are available when placing calls or sending messages.

Manage existing contacts

Select a contact to open their profile. Available actions depend on the contact type and your permissions.

  • Edit personal contact details.
  • Call the contact.
  • Send a new message.
  • View your call history with the contact.
  • Access voicemails and call recordings, when available.
  • Block the number.
  • Delete personal contacts.

How to delete a personal contact

Delete personal contacts you have added or uploaded when they are no longer needed.

  1. Open the Contacts tab in the left navigation panel.
  2. Find the contact and open Profile Info.
  3. In the right dialer panel, click the pencil icon to edit the contact.
  4. Scroll to the bottom and click Delete.
  5. Confirm you want to delete the contact.

Import contacts with a CSV upload

Upload a custom contact list by importing a CSV file containing Personal or Shared contacts.

Contact upload requirements and notes  

A CSV template is available from the import screen. Use the template to confirm the required column format before uploading your contact list.

CSV import requirements: You can import up to 100 contacts at a time. First name, last name, and phone number are required. Optional fields include additional phone numbers, up to three email addresses, location details, and company name.
