Use Sync Two-Factor Authentication (2FA)

Learn how to update your 2FA methods for secure sign in.

Two-Factor Authentication (2FA) adds a second layer of security to your net2phone account. In addition to your password, you must verify your identity using a secure authentication method, such as an authenticator app, SMS code, or email code.

Once 2FA is enabled, you may be prompted to verify your identity when signing in to your account.

Why implement 2FA?

2FA helps protect your account if your password is guessed, reused, lost, or exposed in a security breach. Two-Factor Authentication reduces the risk of unauthorized access by requiring something you have, such as your phone or email, in addition to something you know, such as your password.

In some organizations, administrators may require Two-Factor Authentication for all users.

If 2FA is enforced at the company level, you must complete setup before continuing to use your account. Administrators can also help reset 2FA if you lose access to your authentication method.

 

Available 2FA methods

net2phone supports multiple authentication methods. Depending on your organization’s settings, you can enable one or more 2FA methods and choose which method to use when signing in.


Using multiple methods

If you enable more than one 2FA method, you’ll be prompted to choose which method to use when you sign in. Multiple methods can be helpful if one option is temporarily unavailable.

Use a Time-based One-Time Password (TOTP) authenticator app to generate secure login codes.

  • Examples include Google Authenticator, Authy, and Microsoft Authenticator.
  • Works even without cellular service.
  • Provides the strongest level of account protection.
 
 

SMS authentication

Receive a one-time verification code by text message on your mobile phone.

  • Requires access to your mobile device.
  • Delivery depends on mobile carrier availability.
 
 

Email authentication

Receive a verification code at the email address associated with your account.

  • Uses your account email on file.
  • Often used as a default or fallback method.
 
 

Change your 2FA method

You can manage your personal 2FA methods from the Sync Settings Portal. Changes to your 2FA method only affect your own login.

Depending on your organization’s security settings, administrators may require 2FA or lock specific methods as the company default.


Open the Sync Settings Portal

  1. Click your profile icon in the top-right corner of the app.
  2. Select Company Settings.
  3. The Sync Settings Portal opens in a new browser tab.

Open two-factor authentication settings

All Sync users can access the Two-Factor Authentication configuration page within the Settings portal. 

  1. In the left navigation menu, click the Settings gear icon.
  2. Click Two-Factor Authentication.
  3. Review the available methods:
    • TOTP Authenticator App
    • SMS Authentication
    • Email Authentication

Choose a 2FA method

Select one of the available methods and follow the setup flow.

Use a TOTP authenticator app

  1. Click Select this method for TOTP Authenticator App.
  2. Open your authenticator app and scan the QR code.

  1. Enter the 6-digit code from your authenticator app into the Sync Platform.
  2. Complete the setup flow.
Example: Confirm the authenticator app with a 6-digit code.

Use SMS authentication

  1. Click Select this method for SMS Authentication.
  2. Enter your mobile number.
  3. Enter the verification code sent by text message.

Use email authentication

If your administrator has set email authentication as the default method, you may see Set by your administrator as default.

  1. Select Email Authentication.
  2. Enter the verification code sent to your email address.

Recovery codes

Recovery codes let you access your account if you lose access to your authentication method, such as your phone, email, or authenticator app.

Store your recovery codes in a secure location after you finish setting up 2FA.

  • Download, copy, or print your recovery codes and store them securely.
  • Each recovery code can only be used once.
  • You can generate new recovery codes at any time from your 2FA settings.

Get new recovery codes

Generate new recovery codes if your existing codes are lost, used, or no longer secure.

  1. Click Get new recovery codes at the bottom of the 2FA page.
  2. Download or copy the new codes to a safe location.
